Guidelines for attending the TRACE LAB SERIES and details on how ECSC handles your personal information.
Participant Agreement
Terms of Service
These Terms of Service govern participation in the TRACE LAB SERIES workshop series organised and operated by ECSC. By submitting a registration or participating in any phase, you agree to comply with and be bound by these terms.
1. Seat Allocation & Prerequisite Verification
Registering for a workshop phase expresses your interest in a seat; it does not guarantee immediate admission. Because bench space, specialized hardware, and safety gear are strictly limited per cohort, ECSC reviews all registrations and verifies prerequisite submissions before confirming seats.
Formal seat confirmations, cohort allocations, and lab briefs are delivered to the email address provided in your registration prior to the phase commencement date.
- Registration is strictly one per person per phase.
- Unconfirmed or waitlisted applicants will be notified if additional lab benches or cohorts become available.
- Failure to confirm attendance when requested may result in your seat being released to the waitlist.
2. Lab Safety & Equipment Handling
The TRACE LAB SERIES operates in an active hardware workshop environment involving soldering irons, hot air rework stations, power electronics, microcontrollers, and machinery. Participant safety is our highest priority.
You agree to strictly adhere to all safety guidelines, protocols, and verbal instructions provided by lab instructors and bench supervisors at all times.
- Personal protective equipment (including safety glasses where required) must be worn during soldering and mechanical work.
- No equipment, power supplies, or tools may be operated without supervisor authorization and basic safety clearance.
- ECSC reserves the absolute right to suspend or revoke bench access for any participant whose actions are deemed unsafe, hazardous, or non-compliant with lab safety standards.
3. Bench Conduct & Attendance
Participants are expected to maintain professional and collaborative conduct throughout all workshop sessions. Respect fellow cohort members, instructors, and lab equipment.
You are responsible for keeping your assigned workbench tidy, safely handling all provided components, and returning workshop equipment in its original condition upon completion of each session.
4. Participant Submissions & Accuracy
You agree that all information provided during registration—including contact details, academic or institutional affiliation, and uploaded payment/student identification slips—is truthful, accurate, and your own.
Any prerequisite task submissions, schematics, code, or proof files uploaded must represent your genuine work or appropriate authorized submissions.
5. Intellectual Property & Media Release
You retain all intellectual property rights to the original hardware schematics, firmware code, and project solutions created by you during the workshop.
ECSC may photograph, record audio/video, or document workshop activities, bench builds, and final demonstrations for educational, community archive, and promotional showcase purposes. By attending, you grant ECSC a non-exclusive license to use such media in workshop publications and digital channels.
6. Rescheduling, Cancellation & Limitation of Liability
ECSC strives to deliver all workshop phases as scheduled. However, if a phase must be rescheduled, postponed, or modified due to unforeseen technical constraints, lab maintenance, or circumstances beyond our control, we will promptly notify registered participants via email.
All workshop training, component kits, and tools are provided in good faith on an 'as-is' educational basis. To the maximum extent permitted by applicable law, neither ${SITE.org} nor its organizers, instructors, or affiliates shall be liable for indirect, incidental, or consequential damages resulting from workshop participation or hardware handling.
7. Governing Law & Dispute Resolution
These terms are governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka.
Any dispute, controversy, or claim arising out of or relating to these terms or participation in the workshop series shall be submitted to the competent jurisdiction of Sri Lankan courts.
